Set up email accounts on Android phones

Configure email accounts that have previously created in the Hosting (cPanel in our case) is an important task that must be carried out, whether to use the mail server service, so that we can send and receive emails through of created accounts related to domains discharged in Hosting.

We address setup email accounts created in cPanel in Android mobile devices that use the default mail client (not Gmail).


Is using POP or IMAP?

The POP3 protocol is easier to use and requires to be constantly connected to the network (Internet) allowing you to store messages on the client (mobile ), while it does IMAP on the server.

To read your mail from different computers , have them available from any Internet connection via the browser and even from any device , IMAP is the protocol you use . You can see messages from your usual email client desktop from a Mail (OSX ) or through Webmail client , also, you can do it from a PC , Mac or Mobile smoothly.

If you receive attachments large messages , and your account has a very small box and you would only save messages to your computer , POP3 is the protocol used.

Using the POP3 protocol you can read your mail while offline because they are stored on your computer or device. With IMAP you can also read them offline but you must enable this option in the mail client , otherwise , you'll need to connect to the Internet .

If multiple users are accessing the same account from different terminals , ideally set up the account as IMAP mailbox to prevent the access is blocked by multiple terminals at the same time or that the Server Firewall block access us detect the same mailbox with the same credentials from different IPs.

Setup POP3/IMAP Android

Mobile devices that work with Android include two email clients , one for Gmail and one for other types of email servers including Microsoft Exchange, IMAP and POP3.

Here are how to configure the integrated email application default to access IMAP or POP3 servers for incoming mail , and SMTP for outgoing mail server. Configuring IMAP and POP3 is the same.

Process creation and account settings :

    •  In mobile we access Menu, Settings, Accounts .
    • Select " Add Account " .
    • On the next screen select "Email" .
    •   We introduce the email address and password of the account that we are going to configure and click Next. ( Mark first the "Show password" to view and insert it after putting her sure correctly).
    •  If we want this account is the default that will be used in the mobile mark the "Send email from this account by default" . Next.
    •  Select the type of account : POP3 , IMAP , Microsoft Exchange ActiveSync : select POP3 or IMAP, as appropriate.
    •  We introduce setup incoming mail server : Username , Password , POP3 server ( see below in detail) , port , security type and delete mail from the server. If we want to keep a copy in the mail server Hosting leave default "Never", but if we download to our mobile and are removed from the server to not occupy space, select "By deleting the inbox ."
    •  Then click Next.
    •  The client connects to the server and perform the appropriate testing connectivity , if not return an error at this point the configuration is correct , otherwise would have to analyze the error returned and verify the data entered so far .
    • Now perform server settings Outgoing Mail SMTP server ( see below in detail) , port, type of security application login , username, password.
    •  Then click Next.

    • On the next screen you can configure the synchronization of emails , setting a time query to the server , you enable the "Sync Email " box if you wish to keep it in sync ( requires Internet connection and consumption data ) and if we receive notification emails received in the Mobile mark "Notify me when email arrives " box.
    •  Next.
    •  Finally, once the Android client has verified all these settings , we indicate that the account has been configured and is ready to receive email.
    • We establish the name of the email account under which the identify ( if you use multiple accounts ) and the name displayed on outgoing messages .
    •     Press " Finish" and we will terminate the account settings on the device.


    Sample Data Configuration Incoming Mail Server:

    •     Username: gestion@mi_dominio.com - your complete email eg email@dominio.com
    •     Password: The email account configured.
    •     POP3 Server: mail.dominio.com cpXX.dominio.com or replacing "dominio.com" with the      name of your domain.
    •     Security Type: None
    •     Port: 110
    •     Delete email from server: Never or When I delete inbox (as needed). 

    Sample Data Setup Outgoing Mail Server:

    •      SMTP Server: mail.dominio.com cpXX.dominio.com or replacing "dominio.com" with the  name of your domain.
    •      Security Type: None
    •      Port: 587
    •      [X] Request Login
    •      Username: gestion@mi_dominio.com - your complete email eg email@dominio.com
    •      Password: The email account configured.
    •      Delete email from server: Never or When I delete inbox (as needed).

     Additional settings :

    We can now select Account options : frequency query email (15 minutes by default , lower frequencies can cause blockages of the IP on the Firewall Server ) , Send email from this account by default , and notice of entry email. Assign a name to display on outgoing messages .

    Once finished, the Android mail client will connect to the account and begin downloading email ( if any) . While we will see the message list , we can also change the settings assigned to this account by tapping the Menu icon - just to the left of the Home icon - and then tapping Settings cuenta.v

    The available options are:

    •     Account name .
    •     Name .
    •     Frequency control email.
    •     Default account ( this account becomes your default account on your Samsung Galaxy) .
    •     Email notifications .
    •     Select ringtone .
    •     Vibration.
    •     Incoming mail settings (to modify the configuration of the POP3 or IMAP server).
    •     Outgoing mail settings (to modify SMTP server settings ) .

    The menu icon also gives you more options and refresh , compose, folders, accounts and account settings .

If we want to add another email account, we can do repeating this process from the first screen.

Note: Remember that if you read the post from Mobile or another mail program desktop and have not checked the option "Keep copy on server" these are deleted once downloaded to your email program and did not find it later in the server.

Some common errors in the use of email :

550 No Such User Here: A common error sending email is the "Error 550 - This user does not exist here ." This error occurs when sending email because the user name is not found or is not accessible by the server is rejected. There are several reasons why you get an "Error 550 - This user does not exist here ."
  •     The mail file permissions are not readable or incorrect.
  •     The email address has been entered incorrectly ( common) .
  •     MX records are incorrect ( pointing to the wrong server).
  •     Email is not properly routed ( remote domain / local ) .

535 incorrect authentication: incorrect login attempts mail .

550 Invalid email address error: This message is basically divided into two parts. The first part is the error number , and the second is the message. The error number 550 means that it is a permanent error , so resending the message later have the same effect . Error numbers 400 are temporary and usually tend to be resolved in a later shipment .

The message itself indicates that the email address to which the message was sent there . Usually this means that the server has not received a single email address registered . This may be a recent change of DNS records or the email was deleted .

Email Quota Exceeded Error -Mailbox : If an error occurs in the web mail that says " quotas have been exceeded email quota " can fix this error from cPanel allocating a greater share if you have enough space . This error occurs because you have too much mail in the affected account or the actual size of the affected account is too low. One option is to delete unnecessary emails or attachments to reduce the size of the affected mailbox account.
